We all know that teaching lessons brings immense joy and fulfillment. Who doesn’t love to see kids smile when a musical idea finally clicks? But we’re also all too familiar with various administrative tasks that are necessary to run our own business. Emailing, writing policies, posting on social media, etc. They all consume valuable time and energy and for most are just plain tedious. I can’t tell you how many times I’ve put off writing an email to a parent because I just didn’t know where to start!
Fortunately, thanks to the power of AI, specifically ChatGPT, teachers now have a valuable ally in reducing their administrative workload. In this blog post, we will explore how private music teachers can use ChatGPT to streamline tasks such as writing parental emails, crafting studio policies, optimizing website copy, and creating engaging social media descriptions.
While ChatGPT is a great tool, I do just want to make one thing clear before we begin. ChatGPT is a chatbot built on a large language model. It is not a search engine. It was built to mimic language, not to check facts. If you ask it something and it has not already been fed that information, it will make it up. That being said, it is still a fantastic bit of time saving technology.
1. Writing Emails to Parents:
Communicating with parents is an integral part of a private music teacher’s responsibilities. ChatGPT can be an invaluable tool in crafting clear, concise, and professional emails. It’s a great starting off point for figuring out how to communicate when dealing with a delicate situation. For example, here is what ChatGPT supplied when I asked it to write a letter about a student’s lack of practice:
Subject: Concern Regarding [Student’s Name]’s Practice
Dear [Parents’ Names],
I hope you’re doing well. I wanted to reach out regarding your child, [Student’s Name]’s piano practice. As [Student’s Name]’s piano teacher, I believe open communication is essential for their progress and musical development.
I’ve noticed a decline in [Student’s Name]’s practice outside of our lessons. Regular practice is crucial for improvement, as it reinforces what we cover and helps build skills. It also allows [Student’s Name] to tackle challenges and explore their musical expression.
I understand that finding time for practice can be challenging. However, I kindly request your support in establishing a consistent practice routine and creating a focused environment for [Student’s Name]. Together, we can ensure their growth and enjoyment of playing the piano.

While I would tweak this a bit before sending it to a parent, having this as a starting point would save so much more time. Editing an email takes way less energy and brain power than having to write it from scratch.
2. Crafting Studio Policies:
Establishing clear studio policies is probably one of the hardest things a private music teacher has to do. Creating policies that work and then having to effectively communicate them to parents is always a challenge. ChatGPT can assist in articulating these policies by providing concise and easily understandable language. I just gave it a list of policies and here is what it came up with:

- Tuition is charged on a per-semester basis and is due in full by the first lesson of each semester.

A well-crafted website is essential for attracting potential students. I’ve spent a long-time shaping copy that will appeal to my ideal clients. Unfortunately, I am not adept at amazing keywords and SEO content. ChatGPT has been helpful in fine-tuning my website copy to optimize my chosen keywords in a natural way.
And if you are writing website copy from scratch, ChatGPT, just like in previous examples, is the perfect way to start. Here’s what it retuned when I asked it to write a welcome message for a piano teacher’s website:

Whether you’re a beginner eager to embark on a musical journey or an experienced pianist looking to refine your skills, our personalized lessons cater to students of all ages and levels. With the assistance of ChatGPT, teachers can create captivating website content that effectively communicates their teaching approach and appeals to prospective clients.
4. Creating Engaging Social Media Descriptions:
Posting on social media is a great way to foster a sense of community with current families and to promote the studio to potential clients. But, having grown up in the “pre-socials” time, I’m always second guessing myself about tone and word choice. ChatGPT is great for generating creative descriptions for social media posts in an appropriate style. These are two examples it gave me:

With ChatGPT, private music teachers can create attention-grabbing social media content even if they aren’t confident writing in that style.
